WhatsApp Event Invitation Templates: Posters, RSVPs and Reminders

Quick answer

Use a clear event title, full date, time, timezone, location and one response instruction in your WhatsApp invitation. Create a Groupie event to add a photo, RSVP choices and reminders. Participants tap Going, Maybe or Not going, then send the prepared private message to save their response.

A good event invitation answers five questions quickly: what is happening, when, where, what to bring and how to respond. Use these templates to prepare a clear WhatsApp invitation, then turn it into a Groupie event with a photo, RSVP choices and reminders.

What to include in a WhatsApp event invitation

Start with a recognizable title and one sentence explaining the gathering. Include the full date, start time, timezone when relevant, and an exact meeting location. Add practical instructions such as the entrance to use or what participants should bring.

Keep important details in the text as well as the poster. Members should be able to understand the invitation without opening an image. Use one clear response instruction instead of asking people to reply in several places.

Groupie gives the invitation a structured event format and saves responses against that event. With RSVP enabled, participants choose Going, Maybe or Not going, then send the prepared private message to Groupie. The response is saved when Groupie confirms it.

The response instructions above belong with an RSVP-enabled Groupie event. If you send the text as an ordinary announcement, remove those lines or replace them with the actual response method. Text alone does not create RSVP buttons.

Turn a template into a Groupie event

  1. Start privately and choose the group

Send CREATE EVENT in your private Groupie chat. Select the connected WhatsApp group you administer. If you are new, register, add Groupie to your group and send REFRESH GROUPS first.

  2. Enter the event details

Set the title, date, time, timezone and location. Adapt a template for the description using the preview’s Edit description option. Avoid contradicting the event fields by leaving old dates in the description.

  3. Add the image and check RSVP

Use More options to reach Edit attachment and send one image privately. Confirm that the preview lists the attachment and says RSVP: Enabled. Review any guest limit and group reminder settings.

  4. Review and approve

Check the final preview and tap Approve. The event announcement is queued after approval. Once it arrives in the group, members can use the response buttons beneath the photo and event details. Read the full RSVP walkthrough for the participant and organizer steps.

Events require a paid workspace plan. Pro includes three new events per calendar month, event images, RSVPs and reminders. Editing or rescheduling an existing event does not use another new-event allowance. See current plans for details.

Common questions

Should the poster contain every detail?

Use the poster to support the invitation, then repeat essential details in readable text. A short title, full date, time and location make the message useful even before someone opens the image.

Can I use a template without collecting attendance?

Yes. Remove the RSVP instructions and use an announcement. Groupie can schedule the message with its photo for an approved publish time.

How should I word the reminder?

Keep it practical: “Our [event title] starts at [time] at [location]. Please bring [item].” Review the event’s group reminder setting before approval. Groupie adds a default one-hour reminder when there is enough time before the event.

What if the location or time changes?

Review and update the existing event through its available controls, then make the change clear to members. Use the event title and confirmed new details in your correction so people can identify which invitation it replaces.
