How to Schedule a WhatsApp Group Announcement with a Photo
Quick answer
To schedule a WhatsApp group announcement with a photo, send WRITE POST to Groupie privately, choose your group and publish time, write the message, add a photo through Edit attachment, then review and approve. Scheduled announcements require a paid workspace plan.
Prepare your announcement when you have time, then have Groupie send it to your WhatsApp group at the time you approve. You can include a photo or event poster, check the message and recipient, and make changes before scheduling.
What you need before you start
Register with Groupie in a private WhatsApp chat, add Groupie to a group you administer, and send REFRESH GROUPS in your private chat so you can select that group. Keep the photo you want to share ready on your phone.
Scheduled announcements require Pro, Community or Organization. Pro includes up to three managed WhatsApp groups. Check the current plans for your workspace’s allowance. Groups covered by a paid workspace are ad-free.
This guide covers a Groupie announcement sent into a connected WhatsApp group. Scheduling the announcement is separate from creating an event with attendance responses. For that, use the event RSVP guide.
How to schedule a photo announcement
Start in your private chat with Groupie
Send
WRITE POST, or choose Write announcement from Groupie’s menu. Create the announcement privately so you can review it before anything is posted to the group.Choose the group and give the post a title
Select the intended group from the buttons or reply with its name or number. Add a short title such as “Saturday community picnic.” Check the group carefully if you manage several communities.
Choose the timezone, date and time
Choose a timezone such as Pacific Time, London Time or Nigeria Time, or type its IANA name. When asked when to publish, enter a future date. Use a full date and year for precision, then enter a time such as 9 am. The NOW option sends after approval instead of scheduling for a future time.
Write the message people should receive
Put the essential details in the message: what is happening, when, where and what members need to do. A poster is useful, but a readable caption helps people understand the announcement without opening the image.
Attach your photo before approving
At the preview, open More options until you see Edit attachment. Select it, then send one photo in your private chat with Groupie. You can also choose an available saved file through MEDIA. Return to the preview and check that an attachment is listed.
Review and approve
Check the group, title, message, date, time, timezone and attachment. Use the edit options to correct anything. Tap Approve only when the preview matches what you want to send. For a future announcement, the confirmation should show Scheduled.
An announcement you can adapt
For a community picnic, you could schedule this message for the morning before the gathering and attach your picnic poster:
Saturday community picnicJoin us this Saturday at 12 pm at Riverside Park, near the main entrance.
Bring a picnic blanket and water. We’ll share an update here if the weather changes.
Use actual dates in the caption when members might read it later. The scheduled publish time is when the announcement goes out; the picnic time belongs in the message itself.
Scheduled does not mean delivered
An approval confirmation tells you Groupie saved the approved action. Scheduled means it is planned for a future time; Queued for sending means it is waiting to be processed. Neither is a delivery confirmation.
Send POSTS SCHEDULED in your private Groupie chat to find scheduled announcements, or open Announcements in the dashboard. Review the available status and controls there. If Groupie reports a group-verification problem, follow the recovery instructions and resume the saved task rather than creating a duplicate.
Common questions
Will the photo and message appear together?
For a supported photo attachment, Groupie sends the announcement with its image and formatted caption. WhatsApp controls the final layout. Keep the text focused and review the attachment before approval.
Can I change the message before it is sent?
Use the preview’s edit options before approving. For an already scheduled announcement, open it from your scheduled posts or the dashboard and use the available edit or cancel controls. A message whose send has already started cannot be recalled by cancelling its schedule.
Do members need another app?
Members receive the announcement in their existing WhatsApp group. The organizer can prepare it through a private chat with Groupie.
Can the same post collect RSVPs?
Use a Groupie event when you need Going, Maybe and Not going responses. An ordinary announcement is a message, not an attendance form. Follow the event RSVP walkthrough to set that up.
