How to Collect Event RSVPs in WhatsApp Without Counting Chat Replies

Quick answer

To collect event RSVPs in WhatsApp, create a Groupie event with RSVP enabled and approve it for your group. Participants tap Going, Maybe or Not going, then send the prepared private message to Groupie. The response is saved when Groupie confirms it. Photo events support these buttons too.

“I’m coming” is easy to miss in a busy group chat. A Groupie event gives members Going, Maybe and Not going options, including when the event has a photo. Responses are saved through a private message to Groupie, so the organizer can check attendance without counting chat replies.

What this RSVP flow does

The event appears in your connected WhatsApp group with its title, date, time, location and any description you add. With RSVP enabled, the event offers three response buttons. If you attach an event image, the image remains part of the event message and the response buttons are available below it.

Groupie events require a paid workspace plan. Pro includes three new events per calendar month, with RSVP responses, images and reminders. Editing or rescheduling an existing event does not use another new-event allowance. See plans and included features before creating your event.

Create an event with a photo and RSVPs

  1. Start an event privately

In your private chat with Groupie, send CREATE EVENT or choose Create event. If you are new, register first, add Groupie to a group you administer, and send REFRESH GROUPS so you can select it.

  2. Enter the details members need

Choose the group, add the title, select the timezone, and set the date and time. Add the meeting location. Use the preview’s edit options to include a description with useful details such as what to bring or where to meet.

  3. Check that RSVP is enabled

The preview should say RSVP: Enabled. If it does not, open More options, choose Edit RSVP and select Yes. You can also review the guest limit and group-reminder settings.

  4. Add your event image

Open More options until you reach Edit attachment, then send one image in the private chat. Return to the preview and confirm that an attachment is listed. RSVP-enabled photo events support the same three response choices.

  5. Review, approve and check the group

Check the recipient group and all event details before tapping Approve. The approval receipt may show Queued for sending; that is not delivery confirmation. Once the event arrives in the group, check the image, caption and response buttons.

How participants save their RSVP

There is one important step after tapping a button: the participant must send the prepared private message to Groupie. Opening the chat alone does not save an RSVP.

  1. Choose a response in the group

Tap Going, Maybe or Not going beneath the Groupie event.

  2. Send the prepared message

WhatsApp opens a private chat with Groupie containing the event name, response and event code. Keep that prepared message intact and tap WhatsApp’s send button. The code identifies the event so Groupie can record the response against the right gathering.

  3. Check Groupie’s confirmation

Groupie replies with an event-specific RSVP confirmation and your current response. If Groupie asks you to register first, complete registration and then send the prepared RSVP again. You have finished once Groupie confirms the saved response.

If your plans change, use the event’s response options again and send the new prepared message. Groupie records your updated choice rather than treating each reply as another guest.

How the organizer checks who is coming

In your private chat with Groupie, send ATTENDEES followed by the event name, for example, ATTENDEES Community picnic. Use the exact title and follow any selection prompt if more than one event matches. Groupie checks your permission to view the attendance information.

You can test the participant flow yourself as the organizer: open the group event, tap a response, send the private message and check the confirmation. That records a real response for you. Then check the attendee list. Another group member can also test from their own number to verify their experience.

Event group reminders are separate from RSVP collection. A default one-hour reminder is included when there is enough time before the event; review the actual reminder setting in the preview. A reminder does not mean a member has responded.

Common questions

Are RSVP buttons visible when the event includes a photo?

Yes. Groupie supports an event image with its formatted details and Going, Maybe and Not going response buttons. Keep RSVP enabled and approve the final preview with the attachment included.

Why does a button open a private message?

The button prepares an event-specific response for Groupie to process. The participant sends it privately and receives confirmation there, rather than adding an attendance reply to the group conversation.

Can I just reply “Going” in the group?

Use the event buttons and send the prepared private message so Groupie can identify the event and save the response. An ordinary group reply is not the same as a confirmed Groupie RSVP.

Does this replace WhatsApp’s own event feature?

Choose Groupie when you want to prepare an event privately, add a photo, review the details before posting, and collect structured responses with private confirmations. WhatsApp also offers native events and reminders. Groupie manages its own event and RSVP records; it does not change a separate native WhatsApp event.

What if I only need to send a poster?

If you do not need attendance responses, use an announcement instead. Read how to schedule a group announcement with a photo.
